Below are the instructions for the STAC ID Process. If you would like to see the process being done, you may also click the link at the bottom to view the webinar.
To start, go to Maintenance-> SED Data -> STAC ID Requests.
Once the screen appears, click “Create Batch”
Enter your SED EFRT and the DOB you wish to capture on or after for.
You will be asked if you would like to create the file to send to SED now.
(If you click “No”)
You will get a batch status of “New”, with your SEDUserID filled in, the batch creation date, and the number of children contained in the batch.
Highlight the new batch and click “Create File”.
You will receive a pop-up asking if you would like to send the file to SED. At this point you may choose to say no if you feel you may need to make some edit, otherwise you may click “yes” now.
You will then be prompted to enter your GoAnywhere/SFTP Credentials.
If you had not clicked yes, you will need to click “Upload File” and again, enter credentials.
Tab 2 – Response Files from SED
These are typically available daily around noon.
Click “Download New Responses” to populate new data under the Response Files on the right.

You may see that there are some in grey italics and some in a normal, black font.
Double click the one in a normal font, as it is the one needing to be brought in, and click "yes" when asked if you want to process the response file.
To see details within the files, double click and you will be brought to the unreconciled tab,
You may then export this to Excel as a “Problem Spreadsheet”.
You can also click on the “All Records” tab to view the entire response.
Tab 3 – Problem Spreadsheets
After clicking "Create Problem Spreadsheet for SED" as in the prior step, you will then be able to view the excel document on the next tab.
To do so, double click on the one created.
An excel document will open so you may view what is being sent to SED.
Click on “Upload Spreadsheets” – All in the “Created to Send” box will go.
Enter your GoAnywhere/SFTP Credentials
After you have clicked "Upload Spreadsheets", they will appear in the "Spreadsheets Sent to SED"
You will also have an automatically generated email pop up to alert SED to the new file waiting in their inbasket.
[This step is very important! They must not click out of that email, sending the email notification to OMSSTAC@nysed.gov is mandatory for them to receive this file]
Responses will be processed nightly. You can then click "Download Spreadsheets".
At this point, you may then double click on the file to open the excel document which was sent by SED.
This document now has three additional columns. If they have assigned a STAC ID or have any STAC Notes, these will be filled in. You also then have the option to add in your response to their STAC Notes in the "County/District Notes".
Save the document and close out.
Once you are back to the Problem Spreadsheets tab, right click on the one you just edited and click "Make Copy of spreadsheet in ToSED Folder".
This will then put the file with your responses in the folder that is to be sent to SED.
Tab 4 – Problem Children
To look into the problems on the children, double click on their column.
Depending on their error, you will choose one of the three reconciliation actions.
If the child already exists, you will need to merge them and click “No STACID required”.
If you plan to edit the child and submit again in the future, click “Enable Resubmission”.
If you have the STAC ID, enter it.
To view children with duplicate STAC IDs
Maintenance -> SED Data -> Duplicate STAC IDs
Enter the date and click “Retrieve”.
You may also export to Excel.
