[This function is only for children whose attendance isn't taken on the CPSE Portal.]
Medicaid attendance information is usually brought over from the CPSE Portal, so you would only need to enter it manually if you don't use the CPSE Portal, or if you have children under specific providers who are exempt from using the Portal. You CANNOT use this function for any child whose attendance is being taken on the Portal.
To enter Medicaid Attendance into Preschool for claiming through the Medicaid Service Bureau, please follow the steps below:
1. Look up and select the child you're entering attendance for as the current child.
2. Go to "Medicaid" -> "Enter Attendance".
3. In the top left corner of the Medicaid Attendance screen, select the enrollment and the payment month. If you don't see the month you need in the payment dropdown, please verify if you have processed that month's payments. Only processed payments are available to select. For CBRS services, you need processed CB tuition payments to enter attendance.
4. Next, below the Rx information, enter a CPT code, click the dropdown, and select the CPT code from the dropdown. Use the same selection method to select your ICD code. (You cannot just type the code; you have to select it from the dropdown.)
You also need to select a service provider in the same section. If you don't see the provider listed as an option, you will need to add that service provider to your Preschool. (If you are not familiar with adding Medicaid Service Providers, please contact your support CRM.)
5. Once the CPT code, ICD code, and the service provider info are set, you can now click on the calendar to select days when the service took place. Selected days will be highlighted in yellow, and the Attendance list on the right will populate with records. After selecting the days and checking that the records are correct, you can click "Save Changes" in the bottom right to save your attendance.
