How to enter special CB programs (nurses) in Preschool

If your county uses eSTACs, please refer to this guide instead: eSTACs - How to enter a CB placement with a nurse.
The following directions are for counties that don't use our eSTACs service.

If a child will attend Center-based classes with a nurse (RN/LPN), a special set of steps needs to be taken. This is because SED categorizes RN and LPN aides as special programs and requires the STAC-812 form.

Please refer to the steps below when entering a CB placement with a nurse.

1) Entering a regular program
When you receive the child's IEP stating that they need a 1:1 RN or LPN, you would need to first enter the student under the regular program without an aide and submit the STAC to SED.

2) SED approves the regular program
After SED has approved the child for the regular program, you will then need to send the completed STAC-812 form to SED.

3) SED changes the STAC approval
After SED has also approved the STAC-812 form, they will change the program approval on the child's STAC from the regular program to the special program with a nurse from their end.

4) Wait for the approval information to come in through the summary files
You will need to check the child's SED summary weekly after you bring in the summary files to see when SED has changed their STAC approvals.

5) Edit Preschool to match the new approval
Once you see that the child's STAC approval has been changed to the special program on their summary files, you can edit the STAC and the enrollment in Preschool to swap out their regular program for the special program. You would also need to change the transmission methods for the STAC from electronic to paper, so it won't get sent electronically. (STACs with special programs cannot get approved electronically; all amendments and changes must be made on paper.)
